How to reply to the reviews barbershops get most

These guidelines apply whether you reply by hand or approve drafts from ReplyDaily. The examples are illustrative, not real clients.

A cut that didn't match the request.

Own it as the shop, don't argue about photos or instructions in public, and don't blame the barber by name. Move the fix offline.

★★ "Asked to keep the top long and it came out way shorter."
"We're sorry the cut didn't match what you asked for. We'd like to hear what happened and make the next visit right. Please call the shop at [number]. — [Name], Owner"

Long walk-in waits.

Acknowledge the wait plainly. Skip excuses about how busy Saturday was.

★★ "Told 20 minutes, waited over an hour with no update."
"You should have had an accurate wait time and an update when it changed. I'm sorry we didn't give you either. Please reach me at [email] so I can hear more. — [Name]"

Praise for a barber.

Name the barber back and mirror one detail so it doesn't read like a template.

★★★★★ "[Barber] nailed the fade and the beard line-up."
"Thank you! We'll make sure [Barber] sees this. Glad the fade and line-up came out right. See you next time. — The team at [Shop]"

Price complaints.

Thank them, point to posted prices, and invite a direct conversation. Don't reveal what a client paid.

Cuts, nicks or hygiene concerns.

A person should handle these. Keep the public reply short, don't debate details, and ask the client to contact you directly. 1–2★ replies wait in your portal for your approval.

Don't offer free cuts or discounts in a public reply. Google advises keeping replies "conversational, not promotional," and prohibits offering incentives for posting, changing or removing reviews (Google's guidance). If you want to make something right, do it privately, and never tie it to the review.

Day spas

Day spas get the same setup: We reply to every 3–5★ review. 1–2★ replies wait in your portal for your approval.

  • Thank the specific treatment a guest mentions (a massage, a facial) without repeating personal details from their visit.
  • Keep health details out of public replies. If a review mentions a skin reaction, pain or an injury, a person should reply, keep it short and ask the guest to contact you directly. We reply to every 3–5★ review. 1–2★ replies wait in your portal for your approval.
  • Booking and wait complaints follow the same rule as the shop floor: acknowledge, don't argue, move it offline.

Offering medical or injectable treatments? See ReplyDaily for med spas.

Fake or competitor reviews: report them, don't argue

Only Google can remove a review. If a review breaks Google's policies, report it from your Business Profile (how to report a review). Keep any public reply short and calm, and don't accuse the reviewer.

Is ReplyDaily right for your shop?

ReplyDaily fits shops and spas with a Google Business Profile that get new reviews and want replies in their own voice, without writing each one. It isn't for you if you need replies on Yelp or other sites today (Google is the only live integration; Yelp is planned), or if you need a person to approve every reply. ReplyDaily doesn't remove reviews and can't change what Google shows.
