How the review reply generator works
- Paste the review and pick the stars. Add your business name and type if you want the reply to sound like it came from your business.
- Get a reply that matches the review. 4–5★ reviews get a thank-you that mentions something the customer said. 3★ reviews get thanks plus a fair reply to the concern. 1–2★ reviews get a calm reply designed to avoid arguing and asks the customer to contact you directly.
- Edit, copy and post it. Fill in anything in [brackets], such as your phone number, then paste it into your Google Business Profile.
Connect once. Sign in with the Google account that manages your Business Profile.
Set your voice. Choose a tone and a sign-off, and list topics replies should avoid.
Stay in control. We reply to every 3–5★ review. 1–2★ replies wait in your portal for your approval.
Example replies to good and bad reviews
These examples are made up for illustration. They aren't real reviews or real clients.
Example 1: 5★, salon
★★★★★ "Priya did my balayage and it's exactly what I showed her. She explained everything and the salon was so calm. Already booked my next visit." — Jenna M.
Reply: "Thank you, Jenna! We'll make sure Priya sees this. We're so glad the balayage came out exactly how you pictured it. See you at your next visit. — Dana, Maple Street Salon"
Example 2: 3★, contractor
★★★ "Good work on the deck and fair price, but the crew showed up two days later than promised and nobody called."
Reply: "Thank you for the kind words about the deck, and for being straight with us about the schedule. You should have heard from us as soon as the start date moved. That's on us to fix. If you'd like to talk it through, please call me at [phone]. — Rick, Owner"
Example 3: 1★, restaurant (wait and cold food)
★ "Waited forever for two burgers and the fries came out cold. Server was nice but clearly slammed."
Reply: "Thank you for telling us, and thank you for the kind words about your server. A long wait and cold fries aren't what we want anyone to get. I'd like to hear more about your visit. Please reach me at [email]. — Marco, Owner"
With ReplyDaily, this 1★ reply would wait in your portal for your approval before posting.
Example 4: 1★, restaurant (illness claim → safety mode)
★ "Got sick the night after eating here. Never again."
Handle this one personally. (notice shown)
Reply: "Thank you for letting us know. We take every concern like this seriously and want to understand what happened. Please contact me directly at [phone] or [email] so we can talk. — Marco, Owner"
Why it reads this way: the reply is written to avoid confirming the visit, saying what caused the illness, accepting blame or offering a refund in public. It moves the conversation offline.
Example 5: 2★, dental (no patient details)
★★ "Front desk was rude and I waited way too long to be seen."
Reply: "Thank you for taking the time to share this. We want everyone who contacts our office to feel respected. We'd like to hear more. Please call our office at [phone] and ask for [office manager]. — The team at [Practice]"
Why it reads this way: the reply is written to avoid confirming the reviewer is a patient or mentioning any visit or treatment.

How to respond to a bad review
- Thank them, once, and don't argue. People reading your reviews notice a calm reply more than who was right.
- Don't share details in public. Leave out what someone ordered, paid or had done, and never confirm someone is a patient or client.
- Don't accept blame for injuries, illness or reactions in public. Say you take it seriously, and handle the details directly with the customer.
- Don't offer discounts or freebies in the reply. Google prohibits offering incentives for posting, changing or removing reviews. Make things right privately, and never tie it to the review.
- Give them a way to reach a person. A phone number or email, and a name.
- If a review looks fake, report it. Don't accuse. Only Google can remove a review. Report it from your Business Profile if it breaks Google's policies, and keep any public reply short.
